Sherston Velo (the ‘Club’) is a data controller for limited personal data for members.
We process personal data on the basis of the contract implied by membership.
We process personal data in order to:
Communicate with members to enable them to participate in the activities of the Club.
Communicate with designated emergency contacts in the event of a serious incident.
Enable members to communicate with each other in certain forums.
Communicate with club members on matters of relevant general interest.
Maintain appropriate accounts and records of the Club’s affairs.
Personal data may be processed by members of the Club’s Committee and third parties on our behalf, including but not limited to:
Membership lists
Membership forms
Email distribution lists (Rackspace)
Consent forms for youth members and event participants.
Accident Book
Members may also opt-in to the Club or directly to the third party providers to participate in additional services. These include:
The Club website (Wix)
Email newsletters (Mailchimp – consent is assumed but members may opt-out)
Strava
Travel and accommodation providers for club events
Group distribution list aliases are used wherever possible to avoid disclosing individual email addresses.
Individual email addresses (and mobile phone numbers) will be used by Club event organisers to communicate with members participating in that event. Where appropriate this will be done by “blind copy”.
